Associate Director of Admissions Operations

Reports to:  Jeff Hill, Vice-President, Admissions and Outreach

 

DigiPen Institute of Technology is internationally recognized as one of the premier colleges for games, programming, simulation, animation productions, and more. Located in Redmond, Washington, DigiPen is in close proximity to and has connections with hundreds of video game and technology companies. This allows students to tap into industry experience and begin building a professional network from their first days on campus.

The Associate Director of Admissions Operations executes activities and tasks that will lead to achievement of DigiPen’s enrollment management goals by providing data management, data integrity, and technical and functional support to admissions efforts. The Associate Director of Admissions Operations will serve as the “Slate Captain” providing guidance and support to staff in the day-to-day operation of Slate. This will include supporting admissions initiatives including event management, building complex queries, communication support, management of admission applications, document management, data uploads, and integration with third party programs.

 

Essential Functions

  • Serve as interim supervisor for team members in the absence of the VP and Directors.
  • Serve as the designated point person for Admissions and Outreach staff on technical matters related to our Admissions CRM (currently Slate) – responsible for training and supporting internal staff on data collection best practices, trouble shooting, creating training documentation, and scheduling additional assistance as needed to meet team needs.
  • Manage processes for data importing, data integrity, application management, project management, and quality control.
  • Collaborate with Marketing in the design and development of materials - print, electronic, giveaways, and other media for annual recruitment needs.
  • Create and upkeep Slate queries and reports for student data (prospective to enrolled), and events in order to target resources effectively, and constantly improve recruitment strategies – provide weekly, quarterly and annual reports.
  • Create, maintain and enhance Slate features, including but not limited to portals, forms, events, automation rules, checklists, data source format mappings, etc. to achieve enrollment goals.
  • Perform periodic system updates and maintenance, and assist with cycle prep coordination, to ensure the system is up to date.
  • Maintain SharePoint files for Admissions and Outreach, perform an annual audit of databases to ensure the most up-to-date information is available to team members, purge or archive outdated information.
  • Assist with the import of leads from onsite, offsite and online events.
  • Assist with transcript verification and uploads into student records in Slate.
  • Assist with annual budget creation and review for the Admissions and Outreach departments. 
  • Assist with large admissions events that may require occasional evening and weekend work. Serve as an additional liaison for Admissions and Outreach to coordinate IT, and Facilities support.
  • Co-manage the annual file audit with the Assistant Director of Admissions
  • Serve as the Admissions Operations Coordinator in their absence.
  • Other duties as assigned.

 

Supervise Student Workers and Admissions Operations Coordinator:

  • Hire, train, and supervise Student Workers and the Admissions Operations Coordinator. Update training materials as necessary.
  • Maintain task lists, ensure daily tasks are completed in a timely fashion.
  • Perform annual reviews of Student Workers and Admissions Operations Coordinator – provide feedback and guidance, work together to create professional goals.

 

Assist with maintaining team Google Calendar:

  • Weekly tasks scheduling and delegation for Admissions and Outreach staff members 

 

Qualifications

Required

  • High School Diploma or equivalent required
  • Two to four years of related work experience
  • Knowledge of Microsoft Office, Slate (preferred), Zoom, Teams and proficiency with new technology
  • Able to adhere to the college’s rules of confidentiality
  • Ability to communicate effectively and willingness to problem solve
  • Self-starter, extremely organized and detailed-oriented, with strong commitment to accuracy
  • May need to lift up to 50 lbs.
  • Excellent written and verbal communication skills
  • Current driver’s license and dependable transportation/personal vehicle

Preferred

  • Bachelor’s degree preferred
  • At least one year’s prior experience working in the admissions office or other student services office of a higher educational institution
  • Interest in, or knowledge of the fields of art, design, science, and technology

 

Location

This full-time, non-exempt position is located on the Redmond, WA campus of DigiPen Institute of Technology; hybrid work is possible.

 

Salary and Benefits:

Salary range for this position is $67,000 - $70,000 per year.

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: standing and/or walking for significant periods of time during the day; some lifting, carrying, pushing, and/or pulling of items weighing up to 50lbs; some stooping, kneeling, and/or crouching; verbal and written communication.
